Parts Inventory & Lookup

Real-time stock visibility. Build your parts catalog with pricing, images, categories, and manufacturer documentation.

Entering Part Inventory

From the left-side menu, open Parts & Services, then choose PARTS. That opens your part inventory list (or a blank “Select Part to change” page if you have not added inventory yet).

If inventory already exists, you can check a checkbox to open an item you want to review, change, or update. To add inventory for the first time, click ADD PART in the top-right corner of the Select Part page.

Change Part form

On the Change Part form you can capture full part details:

  • UPC code for reference, with optional image scan of the barcode
  • Photos of the part itself
  • Manual excerpt images showing where the part sits in the replacement/service manual
  • Category for sorting and tracking
  • Short description (for customer invoices) and long description for internal detail
  • Replacement part details when a part is discontinued (section just above Financials)

Pricing & financials

You have three pricing rates under the Financial section toward the bottom of the form:

Retail · Discounted · Wholesale

Prices are driven by markup percentage. Enter markup % and unit cost; the system calculates each rate. Adjust markup if a calculated price does not look right.

Lot / case pricing

If you sell by the lot (multiples or case lots), set lot prices in addition to unit rates.

If provincial or state tax rates apply to parts, check the appropriate Apply Tax boxes so tax is charged on invoicing.

Manual links

Under Manual Links, set direct links to the manufacturer’s service manual for service techs and counter staff.

Quantities & replenishment

When quantity levels and vendor PO details are maintained, the system can show what is on order and on back order, delivery dates, and related status. That data feeds automatic Purchase Orders for replenishment.

Tip Always click Save to stay on the current form. Save and Return takes you back to the previous page.
